Tent Rental and Party Equipment Rental for Newbies

EMZ: Tell me, if you were a client that had never planned an event before or never rented a tent or party equipment before, what kinds of things should you know? What should you keep in mind?

LO: Number one, when you call have as much information at your disposal as possible. In other words, the space limitations...Give us an idea as to what are you looking for in an event.

Say to yourself, “what am I picturing? I’m walking into my event, what am I picturing?”

What’s going to be here. Am I going to walk in and see a big beautiful tent and see a liner and chandeliers and all this other sort of stuff? Or am I going to see a guy on the grill cooking up some burgers?

Give us some idea of what you want to see at your event. Then we can translate that into what your event will actually look like. We’ll give you the equipment to make that happen.

EMZ: What if you've never dealt with a tent rental company before and really don’t even know what you want?

LO: We’ll help you decide what that is.

Tent Rental

EMZ: Where in the process should people be calling a party equipment or tent rental company?

LO: ...Usually your tent rental company or your caterer are the first people you contact. And the reason for that is they want to see if it’s possible to have this event at their house, or at their venue, or at their office, or wherever, at the park that they’re thinking of having it at.

They want to sit there and they want to meet with us to find out, ok is this possible? We come out and we measure it up, we do a site survey, free of charge, free of obligation. You don’t have to rent from us if you don’t want.

But we want to find out what you are looking for so we can quote you on the correct pieces of equipment. The worst thing that can happen is the day of the event or the week of the event we get an unforeseen or unexpected condition for your event that says we can’t do what we were thinking. We have to change and do this or do that or this event can’t take place here. That’s the worst to have happen and that’s what we work hard to avoid.

EMZ: What kinds of unforeseen conditions?

LO: You go out there, and I don’t mean to poke fun at anyone, but we’ll go out to a site where they want to rent a 45’ x 100’ tent, they want to hold 200 people at an event with dancing and a bar. We go into their backyard and their backyard is 20’ x 20’ backyard.

EMZ: Oh, my goodness!

LO: Or there’s a huge oak tree right in the middle of the yard. Granted we have ways of going around it. but we have to know that ahead of time. So we can prepare correctly.

EMZ: So the site survey takes care of that because you can check it out.

LO: We can tell you that your dreams of having this tent go over this 500 foot oak tree... Can’t happen. However, let me give you an option that will work.

Party Equipment and Tent Rental: Set up and Delivery

EMZ: When you deliver, do you deliver the night before and pick it up the day after? How does that work?

LO: When you rent you rent for an “event rental” and what that means is that it is rented from Friday to Monday. But it may delivered a day or two before the event. It may be delivered Wednesday or Thursday, depending on the event.

We’re doing a wedding for 1,500 guests this May and we’ll be delivering for that following weekend on Monday or Tuesday to do the set up.

EMZ: And then you’ll pick it up...

LO: We’ll pick it up after the weekend is over.

Coordinating with other professionals.

LO: We can become active in their caterer selection. And the reason for that is the best thing that can happen for your event is that the professionals work well together.

EMZ: Yes.

LO: We work very well with a lot of caterers.

EMZ: Uh, Hmm.

LO: And we can turn around. If your caterer is coming out and they’re bringing certain elements of china, well, maybe we can assist them with that. Maybe they need a grill and they don’t know if their caterer carries one or not.

If we can tell them that we’ve worked well with the caterer or we’ve worked with the caterer in the past, it makes all the difference in the world.

Right now we’re working on a wedding whereby we’ve suggested a caterer, we’ve suggested a florist, and we’re working very well all together.

For example, I don’t have to call the customer and say, “listen on your linens, do you want mauve or do you want burgundy?” And they think “I have to call my florist” and they turn around and call their florist. Then their florist calls them back and they call me back.

Instead of that, why don’t I just call the florist?
